Effective communication is critical to building strong relationships with our customers. That’s why we keep them updated regularly, using customized reports and the most convenient formats.

Rather than just providing bullet points, we explain things clearly and ensure the customer is comfortable with the information presented. Our primary communication goal is to leave less room for misunderstandings, ensuring all stakeholders align with all aspects.

Alina Poghosyan: How can we ensure successful project delivery?

At AOByte, we practice Agile methodologies, and for the project I am involved in, we do Scrum. After each sprint ends, we organize a demo day to showcase a section of the work we’ve already completed to the customer. This allows them to inspect the outcomes, give feedback and determine future adaptations. If changes affect the timeline and scope of work, we openly communicate the circumstances and adjust the changes based on mutual convenience and respect.

Regular communication is vital. We communicate with our clients throughout the entire delivery time, holding meetings, discussing the project, planning, setting estimations, and having lots of Q&A to ensure we clearly understand their requirements. We’ve developed a regular communication session to inform the customer of our progress with weekly updates.

Moreover, setting expectations is crucial to successful delivery. We try not to be vague when it comes to setting deadlines, but instead, we provide realistic time ranges to ensure that our customers can make appropriate business decisions. This requires being realistic, open, honest, and clear in communication.

We’ve also established communication tools and channels to keep in touch with the customers. These pre-approved channels, such as telegram, mail, and google calendar, make communication easy and effective.

Cultural differences affect communication. We consider company and customer culture and adjust communication accordingly. The channels, methods, and delivery may vary depending on the communication type.

Anahit Nersisyan: What is unique about our communication and our approach to solving communication issues?

One unique aspect of our communication is that we take a holistic approach, seeking to understand the company as a whole: the business goals, cultural aspects, operations, and risks. By doing so, we can create prototypes for similar circumstances and anticipate what our customers may want to know about their projects.

We pride ourselves on being available and accessible to our customers at all times. Our company recognizes the importance of being readily available to our clients, not simply as a matter of accessibility, but because any issues or developments on their end may have significant financial or operational consequences. Delayed reactions on our part could cause a chain of problems for our clients, impacting their ability to provide high-quality customer service. That’s why we make every effort to be available and responsive to their needs at all times.

Although we always strive to keep all parties informed, miscommunication can still happen, especially when third parties are involved. In a recent case, instead of blaming others and leaving the solution to a third party, we explored the situation, devised options, and promptly communicated them to the client. This unique approach ensures that any miscommunication is quickly resolved and our clients remain informed.

Dealing with such situations can be challenging, mainly when the issue is not your fault. However, at AOByte, we have a specific approach.
